Best HVAC Companies (“Best HVAC Companies,” “we,” “us,” or “our”) operates besthvaccompanies.com (the “Site”), a directory that helps homeowners find and compare HVAC (heating, ventilation, and air conditioning) contractors. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
By using the Site, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
Information you provide directly
We collect information you submit through forms on the Site:
- Contact form — name, email, phone, subject, and message.
- Add Business form — business name, primary service, business type, tagline, description, contact name, email, phone, website, street address, city, state, ZIP, service cities/states/areas, services offered, brands carried, certifications, license number, years in business, jobs completed, emergency service availability, response time, financing options, hours of operation, logo/banner/gallery image links, special offers, and review-source links.
- Advertise form — business name, contact name, email, phone, website, package tier, target locations, and message.
- Newsletter signup — email address.
- Leave a Review form — star rating, headline, service hired, name, email, and review text.
Information collected automatically
When you visit the Site, we automatically collect certain technical information, including your IP address, the page you visited, referring page, UTM source/medium/campaign parameters (if any), user-agent string, browser, operating system, device type, and a bot/automated-traffic classification. This is logged for every page request.
We use two first-party cookies to support this:
- hvac_vid — a visitor identifier, stored for 1 year.
- hvac_sid — a session identifier, stored for 30 minutes on a rolling basis.
Every form submission also automatically captures your IP address, user-agent, the page you submitted from, and an automated spam-detection (“honeypot”) flag. Submissions are stored in our database, an internal log file, and trigger an email notification to our team.
Information from third-party tools
- Google Analytics (GA4), via Google Tag Manager, fires on page views and form submissions to help us understand site usage. Google’s own privacy practices govern the data it processes on our behalf; see Google’s privacy policy for details.
- IP-based geolocation — we use a third-party service (ip-api.com) to derive an approximate location (e.g., country) from visitor IP addresses, for internal analytics purposes.
- We may, from time to time, add other third-party scripts or tracking tools to the Site through our internal site-configuration tools. We’ll update this policy to reflect any material changes to what’s in use.
2. How We Use Information
We use the information we collect to:
- Respond to contact, advertising, and business-listing inquiries.
- Publish and maintain business listings and reviews submitted to us.
- Send the newsletter to subscribers and manage subscriptions.
- Operate, secure, and improve the Site, including understanding traffic patterns and detecting automated/bot activity.

3. Newsletter
If you subscribe to our newsletter, we send periodic emails from our own mail systems. Newsletter emails include open tracking (a small tracking image) and click tracking (links routed through our system) so we can measure engagement; these events are logged against your subscriber record along with your IP address and user-agent. Every newsletter email includes an unsubscribe link. Re-subscribing after an unsubscribe reactivates your subscription.
4. Do We Sell or Share Your Information?
No. We do not sell your personal information, and we do not share visitor or form-submission information with the HVAC companies listed on the Site. Company profile pages simply display each company’s own publicly listed phone number and website — if you choose to contact a company, that happens directly between you and them, outside the Site. If this changes in the future (for example, if we introduce a “request a quote” feature that routes leads to companies), we will update this policy before that feature goes live.
5. Data Retention
We retain form-submission data (contact, business-listing, advertising, and review submissions) for up to 24 months, after which it is deleted unless we need to keep it longer for legitimate business or legal reasons (for example, an active advertising relationship). Automatically collected analytics data and cookies are retained according to the periods described above (or Google’s standard retention periods, for GA4 data).
6. Children’s Privacy
The Site is not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
7. International Visitors
The Site is built primarily for a United States audience — our listings cover U.S. states and cities. If you’re visiting from outside the U.S. (including the EU or UK), your information may be processed in accordance with this policy. We don’t currently operate a formal GDPR compliance program, but as a courtesy, any visitor may contact us to request access to, or deletion of, their personal information, and we will respond in good faith.
